Find Your Matter

The Search for Files/Matter(s) dialog box is a simple and powerful method to quickly find information. Learning how to use this and understanding it will help you comprehend other dialog boxes another areas of Brief Accounting.

Procedures Covered in this Lesson:

Search for a Matter by:

  1. File Number
  2. Client Name
  3. Active Files Only

Purpose of Lesson:

Learning to use the Search for Files/Matter(s) dialog box to quickly look up matter information.

The Situation:

You want to check the address detail in a Matter Card relating to a property purchase on behalf of Andrew Newton (File No. NEWTON-02).

The Solution:

From the Brief Accounting Home screen, click the Clients icon.

Click the Matter tab:

The Search for File/Matter(s) screen is displayed:

Searching for a Matter Using File Number:

Enter the file number NEWTON-02 in the File No field. Press the tab key on the keyboard.

Note: The File No field is NOT case-sensitive.

The Client, Description and Responsible Attorney information are displayed:

The dialog box indicates that one matter has been found that meets the inputted search criteria.

Click OK (or press the "return" key). The Matter Card for NEWTON-02 is displayed:

Click Accept to return to the Brief Accounting Home screen.

Searching for a Matter Using Client Name:

From the Brief Accounting Home screen, click the Clients icon.

Click the Matter tab.

The Search for File/Matter(s) screen is displayed:

Press the keyboard "tab" key to move the cursor from the File No field to the Client field.

Enter "Newton" into the Client field and press the "tab" key.

Click the "Any" checkbox to select.

The dialog box indicates that 2 matters have been found that meet the search criteria entered:

Click OK.

A list of the matters that match the search criteria is displayed:

Double-click on a matter to view the detail on the Matter Card.

Searching for a Matter Using a Portion of a Client's Name...the "Wildcard" Search:

From the Brief Accounting Home screen, click the Clients icon.

Click the Matter tab.

The Search for File/Matter(s) screen is displayed.

Use the "tab" key to move the cursor to the Client field.

Type "@andy" and press the "tab" key.

4 matters were found that meet the search criteria (contain the text "andy" in any part of the client name):

Click OK to display a list of the qualifying matters:

Searching for a Matter Using Active Files Only:

From the Brief Accounting Home screen, click the Clients icon.

Click the Matter tab.

The Search for File/Matter(s) screen is displayed.

Click in the "Active Only" checkbox and click OK:

What does an "Active" File mean?

Active (or Inactive) is unrelated to File Management (Open or Closed status). Active or Inactive pertains to accounting activity on the matter. A matter is considered Active if it has any of the following:

  • unbilled time
  • funds in Trust
  • a balance in Accounts Receivable

In any of the various modules in Brief Accounting, selecting Active Only files displays the files that are active only in that module. For example:

  • In the A/R module active matters are those with an outstanding Accounts Receivable balance
  • In the Billing module active matters are those that have unbilled time and/or costs
  • In the Trust module active matters are those with a balance of funds in trust
  • In the Client module active matters are those that are active on one or more of the above functional areas
