Enter an Accounts Receivable Invoice

An Accounts Receivable (A/R) invoice can be used when time entries do no need to be tracked in the Billing module. An A/R invoice is made up of line items and is created directly within the A/R module. An invoice may be made up of a single or multiple line items.

Once the invoice is posted, it adds to any Accounts Receivable balance owing for a given matter.

To enter an Invoice:

From the Brief Accounting Home screen, select the A/R module icon > Invoice tab:

Enter the File number and OK:

The invoice Item screen will be displayed. Enter a Reference (title for the invoice), a description of the invoice item, amount, and GL Account (this will be either Fees or Disbursements):

Click Accept.

The invoice screen will be displayed:

If the invoice consists of a single line item, it can be posted and printed by clicking the Post button.

If an additional item has to be added to the invoice, click the New icon:

Enter a description of the new invoice line item and click Accept:

NOTE the GL Account for Disbursements used on the invoice item above.

After clicking Accept, the invoice screen is displayed with the various invoice items and the total invoice amount.

As many items as required may be added to the invoice by clicking New from this screen:

On the above screen, the following can be clicked:

The Print icon will print a preview of the invoice. Edits may still be made to the invoice after it is printed in this manner.

The Accept button will save the invoice. It can still be accessed and modified as needed.

The Post button will finalize (Post) the invoice. A posted invoice is assigned an invoice number. Edits may not be made to posted invoices. If changes are required after posting, the invoice can be reversed and re-entered.

NOTE: On the invoice item screen, there is an Hours field. This isn optional field and my be used to track a timekeeper's hours if required.
